Data processed and required fields
The booking form processes first and last names, email address, telephone number and company where provided, advice area, meeting format, date, time and optional case information. Fields marked as required are needed to process the request; without them we cannot manage the booking.
Purposes and legal bases
We do not make automated decisions that produce legal or similarly significant effects on individuals.
- Managing the request, verifying the email address, holding the slot, creating the Google Calendar or Google Meet event and sending confirmations and reminders: steps requested before entering into a contract (Article 6(1)(b) GDPR).
- Preventing abuse, limiting attempts and protecting the website and calendar: legitimate interests in systems security (Article 6(1)(f) GDPR).
- Measuring website use through optional analytics: consent (Article 6(1)(a) GDPR), which may be withdrawn through cookie settings.
Providers and transfers
We use Cloudflare for hosting, protection, Turnstile and the D1 database; Google Calendar and Google Meet to manage meetings; and Resend to send operational emails. These providers process data on behalf of BCN COUNCIL according to the configured service.
Some providers may process data outside the European Economic Area. Where applicable, the safeguards required by law will be used. You may request information about those safeguards at hola@bcncouncil.com.
Retention
Emails already delivered and any documents or professional matters agreed later have separate retention cycles under the applicable obligations; this policy does not state that they are automatically erased with the booking.
- Verified bookings, associated D1 data and Calendar events: 365 days after the meeting date.
- Requests that do not complete email verification: 30 minutes.
- Technical rate-limit counters: 2 days.
Rights
You may exercise the rights of access, rectification, erasure, objection, restriction and portability, and withdraw consent where it is the legal basis, by writing to hola@bcncouncil.com. You may also lodge a complaint with the Spanish Data Protection Authority.
